Smartcard Process Sep23

The Process for Provision of Smartcards to New Staff is Changing

Smartcards will only be printed for Staff/Supervisors who require them for their role.

Smartcard collection will change from General Office to Workforce Systems.

Why? 

Since the merger of Aintree Hospital and the Royal & Broadgreen Hospitals the Trust has been printing Smartcards for all staff irrelevant of their role. This means staff could access systems including ESR via Smartcard. If you don’t have supervisor responsibilities or require a Smartcard to do your role, then you can access ESR via a username and password only.

Recruitment provide Smartcards for new starters and they are sent to the general office to be paired with their ID badge on the site identified within the recruitment process.

Although staff can collect Smartcards and ID at the same time, they will often require additional Smartcard support which cannot be provided by the General Office. New starters are then often referred back to the Smartcard/Recruitment team for assistance.   

What Is Changing?

Instead of printing Smartcards for all staff, managers will identify through the TRAC recruitment process whether the candidate requires a Smartcard for their role. This will be to either access clinical systems or to access ESR Supervisor Self Service e.g. completion of Appraisals, Pay progression etc. If the candidate does not require a Smartcard one will not be printed unnecessarily. It is important to remember that Smartcards can always be issued at a later date should requirements change.

Recruitment will continue to provide Smartcards for new starters but will no longer send these to the General Office for collection. Instead the new Smartcard will be sent to the Workforce Systems Team who are based in the same building as Recruitment (Williamson House, Wavertree). The Workforce Systems Team will store the cards in Williamson House and they will then be taken by the team to the various on site sessions for the new starter to collect. Staff will receive an email from the Recruitment Team once the card has been printed. This will also confirm confirm the site it will be taken to. If staff wish to change the site they can do so by requesting a location change with the Workforce Systems Team (workforce@liverpoolft.nhs.uk).  

When Will These Changes Take Effect?

The new process will start from Monday 4th September and any new cards printed from this date onward will be held by the Workforce Systems Team.

Any existing cards in the General Office will be collected and held by the Workforce Systems Team.
