Flexible Working in ESR

Flexible Working Requests Managed in ESR **NEW 2024**

This page has bveen created to support staff and managers with the Flexible Working Request process within ESR.

From mid 2024, and following initial discussions with managers, Flexible Working Requests should be made by staff within ESR Employee Self Service.  

Functionality built into ESR and linking with wider workforce data will help to manage Flexible Working Requests using the supervisor hierarchy and established approval routes.

  • Requests should be submitted directly in ESR by staff via the same portal used to access payslips.
  • Requests should be submitted at least 3 months prior to any desired effective date to allow sufficient time.

Submitting and Managing a Flexible working Request

See basic steps on how Employee's can submit a request and below that how Managers can access and manage requests.

Employee Submitted Request

  1. First have an initial discussion with your line manager about your request.
  2. Review the Trust guidance available here (pages 3-5).
  3. Access ESR Employee Self Service using this link - https://my.esr.nhs.uk/.
  4. View the national video tutorial showing how to submit your request by clicking here (please ensure you are logged in to ESR before clicking the link). 
  5. Your manager will confirm receipt of your request via ESR.
  6. Your manager will update your request in ESR confirming outcomes.

Supervisor Receiving Request

  1. Review the Trust guidance available here (pages 6-11).
  2. Access ESR Supervisor Self Service using your Smartcard and this link - https://my.esr.nhs.uk/smartcard/.
  3. View the national video tutorial showing how to manage received requests by clicking here (please ensure you are logged in to ESR before clicking the link).
  4. Review the request in line with Trust policy and guidance, adhering to relevant legislative deadlines. 
  5. Inform the requesting indvidual of the decision and record the outcome within ESR.
